Meetings Aren’t the Problem, Too Many Are
I’m not anti-meeting.
I’m anti-defaulting to meetings.
Years ago, I realized my calendar was filling up with conversations that didn’t move the needle…they just delayed decisions.
So I ran an experiment.
I blocked off Mondays, Wednesdays, and Fridays as meeting-free days.
No standing calls.
No quick syncs.
No “just 15 minutes?”
It wasn’t about being rigid.
It was about building a system that made me more intentional with my time.
What Blocking Three Days Does to Your Thinking
When you protect large blocks of time, a few things happen fast:
You stop using meetings as procrastination.
Without the option to “talk it out,” you’re forced to either act or decide it’s not worth doing.
You gain momentum.
You get actual work done, deep, focused work, without context switching every 45 minutes.
You instantly clarify priorities.
If a meeting can’t wait until Tuesday or Thursday, it had better be truly urgent.
And here’s what surprised me: Very few things are urgent.
Emergencies Happen, But Rarely
Sure, things come up.
When something needs to be handled ASAP or when someone I want to connect with outside of my companies isn’t available on my meeting days, I’ll make the time.
But the structure of meeting-free days creates a filter:
“Is this truly urgent… or just someone else’s discomfort?”
That distinction matters, especially as a founder responsible for strategic direction, not just tactical follow-through.
Why Themed Days Work (and How I Use Them)
This system eventually evolved into “themed days” across my week:
Monday / Wednesday / Friday:
No meetings… deep work, strategy, writing, building, thinking. These are the days where business growth actually happens.
Tuesday / Thursday:
These are my sync days… ops reviews, team calls, decision meetings. Everything gets batched here.
Fewer meetings, but higher quality and faster resolutions.
That rhythm gave me something I didn’t realize I was missing:
Control.
Not just of my calendar, but of my energy, my creativity, and my leadership focus.
Try This for One Month
If you’re buried in back-to-back meetings, try this:
Block off three meeting-free days each week
Only allow meetings on the other two days
See what happens
You’ll probably be shocked at how many “urgent” meetings can wait…
Or don’t need to happen at all.
The result?
More momentum
Fewer distractions
Clearer decision-making
And a whole lot more time to actually lead
Give yourself the space to focus.
You don’t need more meetings. You need more uninterrupted time to think and build.
Once you’ve given this a try, let me know how it went for you!
Cheers,
Sean
